The challenge
Land registries across Nigeria hold decades of critical title documents — Certificates of Occupancy, survey plans, deed records, and correspondence files — many of which exist only as physical paper copies stored in filing cabinets and archives. These documents are vulnerable to damage, loss, theft, and deterioration, and retrieving a specific file can take days or even weeks.
The client needed a system to digitise their entire archive, make it instantly searchable, and ensure the integrity and authenticity of every record.
Our solution
GeoSphere designed and built a purpose-built Land Title Archiving System — a secure digital platform that enables high-volume document scanning, intelligent indexing, fast retrieval, and long-term preservation of land title records.
Key Capabilities
- High-Volume Scanning Workflow — Batch scanning with automatic page detection, image enhancement, deskewing, and quality validation to handle thousands of documents per day.
- Intelligent Indexing — Metadata capture including title number, owner name, parcel ID, date, document type, and location — enabling instant retrieval by any combination of fields.
- Full-Text Search — OCR-powered full-text search across the entire archive, so users can find documents by content — not just metadata.
- Tamper-Evident Storage — Digital signatures and hash verification ensure that archived documents cannot be altered after capture, providing a chain of custody that holds up to scrutiny.
- Access Control & Audit Trails — Role-based permissions determine who can view, download, or print each document, with full logging of every access event.
- Backup & Disaster Recovery — Automated redundant backups with offsite replication ensure no data loss, even in worst-case scenarios.
